Prime responsibilities and duties To work closely with and assist the HR Admin Team Leader in the following activities taking instruction, guidance and advice from the HR Admin Team Leader where appropriate. • Day to day administration within the Department relating to production of employment contracts, addendums/variations/ transfers and associated paperwork. • Assist in maintaining HR guidelines and procedures in accordance with client policy and current employment legislation. • Input and maintain accurate personnel records both manually and electronically on the HR Database ensuring that all records are kept up to date. • Liase with HR Business Partners and employees from various Departments as and when required. • Ensure that administration is carried out professionally and in accordance with company procedures. • Deal promptly and politely with queries raised (either fact to face, by email or over the telephone) by employees, managers and external personnel. • Maintain a register of current speculative CVs. • Ensuring that CVs, academic qualifications, references and identification have been verified and are properly recorded and maintained. • Attend meetings and produce minutes as required. • Provide HR inductions to new staff as required. • Responsible for the accurate filing and upkeep of all personnel files. • Handle and distribute incoming mail. • Assist in the administration of the annual performance review as and when required. • Production of HR reports as required. • Assist in the administration of annual reviews.
