ACTIVITIES
·PA to the HR Manager; duties include but not limited to maintaining and responding to HR Manager’s electronic and hard copy mail as appropriate and organising travel and accommodation as required
·Ensure Company-wide communication relating to Human Resources services using appropriate methods e.g. intranet and notice boards and ensure information is distributed through the HR department cascade system
·Efficiently maintain the HR information system, PeopleSoft, to ensure accurate computerised records for all TEP UK Staff and use the system to update and extract information and to run reports
·Work closely with the HR Systems Adviser to ensure the integrity of the PeopleSoft system and to deliver benefit initiatives
·Support the Senior Compensation and Benefits Adviser as required
·As the Contract Administrator for all agency contracts, undertake a range of tasks including communicating directly with the agency contractors on behalf of the Company, negotiating day rates of contractors on as need basis and reporting a market analysis of rates on a quarterly basis
·Work with the HR/OPS team to provide guidance and support as appropriate
·Build and maintain effective relationships with key contacts within the Finance Department to ensure accurate information and data relating to HR Cost Centres are maintained
·Maintain an awareness of Company policies and procedures in order to provide ad hoc advice on HR matters e.g. queries from London Pension team and Excellerate HRO
·Collate, write and provide written copy for the HR weekly report for HR Manager’s approval and on pass to MD secretariat
·Ensure advertising of TEP UK vacancies at all Client Group sites in the UK, using intranet and hard copies, and also liaise with HR Advisers on vacancy status and applicant CV’s from client's website
·Distribute, collate and enter HR Staff timesheets into SAP to meet timesheet deadline and file on a monthly basis
·Provide management information to other departments as required e.g. monthly ‘Man Hours’ report to the Safety Department
·Coordinate events on behalf of the Client Pensioners Association
·Maintain HR Department In/Out boards
