A fantastic opportunity has arisen to join a prestigious and dynamic professional firm in the heart of Aberdeen City Centre as a Department Secretary. The purpose of the role is to provide administration and secretarial support to a team of 10 professionals in a busy department in relation to daily work for clients on oil & gas projects, transactions and operations. Duties: Provide accurate documentation and correspondence using the appropriate technical skills and to very tight deadlines. Produce all work in a quick and efficient manner, using appropriate house style. Diary management including arranging meetings, booking rooms, contacting clients. Booking travel and accommodation. Process team expenses. Work with Office Co-ordinator to organise client events. Assist team and liaise with Business Control re money laundering / file opening procedures. Produce pro forma fees for billing and liaise with Finance re issuing of all fee invoices. Process any cheques in relation to fees. Liaise with National Practice Manager re monthly team bills / targets / time recording etc. Work with BD team to produce PowerPoint presentations and papers for seminars. Flexibility to suit office / unit needs. General administration including typing, filing, faxing and photocopying. Experience & Qualifications: Typing speed of 60 WPM + At least 3 years secretarial experience in a busy professional office Advanced in all aspects of Word Person specification: Ability to work under pressure Well organised Flexible and proactive approach to work Pay attention to detail Communicate assertively at all levels.
